Data Protection and Privacy

The Gloucestershire Association for Voluntary and Community Action (GAVCA) take seriously our responsibilities under the Data Protection Act. Please download a copy of our Data Protection policy, or contact us for further information.

What Data Do We Hold?

We maintain a database of voluntary and community organisations in Gloucestershire, called Volbase. This database is managed by GAVCA on behalf of a consortium of the following infrastructure organisations, who can all access and use the information: Volunteer and Community Action Stroud District, Cotswold CVS. Forest Voluntary Action Forum, Third Sector Services and Gloucestershire Rural Community Council.

Why Do We Keep this Data?

We need accurate contact details for the organisations listed in the Volbase database so that we can provide organisations with information and support that is timely, relevant and helpful. The information we hold about the organisations also enables us to promote and champion the role of voluntary and community sector to public sector agencies and helps to inform strategic planning and policy development in the county.

Data Protection Options of Organisations and Individuals listed on the Volbase database

Any information held by GAVCA about individuals or organisations will be kept in our database and may be used to send those organisations or individuals information about our services or the services or activities of other organisations that we feel would be relevant to them.
Information about individuals or organisations may also be used to help GAVCA and our partner organisations get in contact with those organisations and individuals, and to monitor our work with and for the voluntary and community sector in Gloucestershire. GAVCA and our partner organisations may also use this information to generate anonymised data about the voluntary and community sector in Gloucestershire which we might share (either free or at a cost) with other organisations.
GAVCA may also use their information for other purposes that are in accordance with our stated aims and mission.

As well as these uses, individuals and organisations can decide whether or not they would like to have their information made available to other organisations and the general public, either in response to a request for information or via the online search facility of Volbase on the Gloshub website.

In all cases, individuals and organisations can change their Data Protection choices at any time, and can request that inaccuracies in their details are corrected, or their details removed from our database altogether. Making a Subject Access Request

If an individual wishes to know what information is held about them in our database, then that person should make a Subject Access Request to the Information Officer.

The Subject Access Request:

Must be made by the individual concerned, with evidence of identity
Must be made in writing to the Information Officer, GAVCA, 75-81 Eastgate St, Gloucester GL1 1PN
Will be charged an administration fee of £10

The request will be processed within 40 days, and a meeting will be arranged with the individual concerned to view evidence of their identity and share the information held by GAVCA.
